1.1 Account Information

When you create an account, we collect:

• Email address
• Authentication information (OTP verification)
• If you sign in using Google, authentication data provided via your Google account

We use your email to:

• Authenticate your account (OTP)
• Send service-related communications
• Send occasional marketing emails (with an unsubscribe option)

We do not sell or share your email with third parties for marketing purposes.

1.2 Profile Information

Applymate AI allows users to create two types of profiles:

• CV Profile
• University Application Profile

You may create a profile by:

• Uploading a CV
• Answering structured questions

The information you provide may include:

• Educational background
• Work experience
• Test scores
• Skills
• Achievements
• Personal statements
• Any contact information included in your uploaded CV

We do not require contact details or home address, but if included in your CV, they are stored as part of your profile. Profiles are stored as plain text and are fully editable or deletable by you at any time from your dashboard.

1.3 Preference Data

For program matching, you may provide preferences in plain English (e.g., budget, country, program type).

We:

• Use this information to match you with programs in our database
• Store preference data in anonymized form (without reference to your identity) to identify trends and improve the product
• Do not share this data with any third party

1.4 AI-Generated Content and Chat History

Applymate AI provides:

• CV evaluation and job-specific CV generation
• Program eligibility matching
• SOP, SOR, admission essays, and other supporting document generation
• Program-specific AI question answering

We use OpenAI’s AI services to:

• Evaluate profiles against job descriptions
• Generate CVs and supporting documents
• Perform program matching
• Answer program-related questions

Chat history and generated documents:

• Are stored in your account
• Can be deleted by you at any time
• Are used solely to provide the requested services

We do not use your data to independently train AI models outside the scope of delivering the service.

1.5 University Program Data

We collect publicly available information about university programs by crawling official university websites. 

We:

• Respect each university’s robots.txt guidelines
• Crawl only publicly accessible data
• Provide links to original sources when presenting program information

Universities may request addition or removal of programs by contacting support@applymate-ai.com.

1.6 Payment Information

We use Stripe for payment processing.

We:

• Do not store or process payment card information
• Do not have access to full payment details

All payment information is processed directly by Stripe according to its privacy policy.

1.7 Cookies and Tracking

We use a Consent Management Platform (CMP).

• No non-essential cookies are stored without user consent.
• Most cookies are used on the landing page.
• Inside the application, we use only a single session cookie necessary for authentication.
• We do not use Google Analytics or Microsoft Clarity cookies within the logged-in application environment.
